AutoFleet is a software that helps manage a company's fleet. The system can be used for commercial motor vehicles such as cars, vans and trucks. AutoFleet includes a range of modules, such as vehicle management, Fuel management, Tyre management and Reporting

AutoFleet allows companies which rely on transportation in their business to remove or minimize the risks associated with vehicle investment, improving efficiency,productivity and reducing their overall transportation costs, providing 100% reporting on all vehicle operations. These functions can be dealt with by either an in-house fleet-management department or an outsourced fleet-management provider.

Vehicle Management Module

This module helps you to create a new vehicle and manage that vehicle from time of acquirng to disposal, keeping records of that vehicle expenses, maintenance, schedules, mileage and accident details.
It consists of a number of modules:

1. Motor Vehicle Manager

  • General – Registration, Model, Make, Year of Manufacture etc
  • Insurance – Policy Number, Insurance Company, Premiums etc
  • Purchasing – Purchase Date, Price, Seller, Warranty etc
  • Certificate Number, Person Inspecting, Renewal Date etc
  • Disposal Date, Sold to, Price, Mileage etc

2. Vehicle Schedule

  • Schedule/Planning Manager for vehicle bookings
    Vehicle Tyre Config
  • Tyre transactions for vehicles

3. Truck and Trailers

  • Assigning Trucks to Trailers and Vice-Versa

4. Accident Manager

  • Recording details in case of a vehicle is involved in an accident Vehicle
    Defect Log
  • For any defects that may occur in a vehicle recorded in the system
    Vehicle Expenses
  • Recording of all expenses incurred by vehicles

5. Update Mileage

  • Allows Mileage for a vehicle to be edited
    Vehicle Maintenance
  • Any repairs/work involving a vehicle and the unit price is recorded here.
    Gate Pass
  • Recording the vehicles as they leave or come in, Cargo, and the time in/out

6. Driver Testing

  • Records all the details of the drivers being tested

7. Drivers

  • Records identification details of the drivers already employed.

Workshop Management Module

For those companies that manage garages for their fleet, this module will assist in their daily operations. The module keeps records of the vehicles that have been repaired, faults reported, technicians and supervisors dealing with that vehicle, date the vehicles was being repaired, all the work/repairs done on the vehicle and all the spares used on that vehicle.
It consists of a number of modules:

1. Job Card

This is like a draft where the fault reported, technicians, supervisor, work done on the vehicles and spares used on that vehicle are recorded.

2. Job Card Inventory

  • A list of all the job cards done in a particular duration, showing the vehicle that job card was opened for.
    Requisition
  • Produces and prints, either locally or remotely a list of items requested from a particular store to for a certain vehicle.

3. Stock Adjustments

  • Used for adjustment of stock in hand to reflect the right figures in case of miscalculations
    Stock Take
  • A utility that helps to do stock taking.

4. Supervisors

  • Used to create and edit all the supervisors that are empl oyed
    Technicians
  • Used to create and edit details of the technicians who deal with vehicle repairs

Fuel Management Module

This module is used to manage all fuel transactions for those companies who operate their own pumps, purchase is done from the fuel dealers, the fuel is received in the tanks from where its directed to the pumps where the vehicles get it from.
Record of opening and closing meter readings is done on the fuel tanks daily to determine usage which should tally to amount of fuel directed to the vehicles.
It consists of a number of modules:

1. Fuel Orders

  • Each vehicle makes an order from to the pump operator to get the fuel. Information recorded include Vehicle Registration, Current and Last Mileage, Tonnage.

2. Tank Manager

  • Each day the pump operator records fuel in tanks like open and Close Meter/Dip Readings, Daily Variance etc

3. Fuel Receiving

  • Quantity Received from Fuel Source (Dealers)

4. Destinations And Fuel

  • Destination, Tonnage, Fuel Required, Tonnage To and Fro.

Tyre Management Module

This module is used to record information about all the tyres a company purchases whether they are already mounted onto vehicles or are in store.
Other information recorded is when the tyres are taken for repairs.
It consists of a number of modules:

1. Tyre Manager

  • Tyre type, Model, Category, Size, Pattern, Current Status etc

2. Transactions

  • Mounting and UnMounting tyres

3. Repairs

  • Supplier, Tyre Type, Pattern, Unit Price etc

4. Tyre Journal

  • Transaction Type, Source and Destination Location, Tread Depth, Condition etc

Reporting Module

This module is used to generate reports of all transactions in the system, the reports can be saved in Excel spreadsheets, text or CSV formats
